Position: Administrative Coordinator
Reports to: Executive Director
Hours: 15 hours per week, with the opportunity for additional hours as organizational needs and funding allow
Compensation: $22 per hour
Location: Hybrid, with regular in-person work in London and travel throughout London and surrounding counties as required
Primary Function
The Administrative Coordinator provides day-to-day administrative and operational support to the Executive Director and helps keep BIALR’s office, programs, events and organizational activities running smoothly.
This is a hands-on administrative role for someone who is highly organized, dependable, comfortable with technology and able to work independently. The Coordinator will help manage records, correspondence, scheduling, databases, supplies and other practical tasks that support BIALR’s work.
Because the position includes errands, deliveries, event and program support and occasional travel throughout BIALR’s service region, the successful candidate must have a valid driver’s licence and regular access to a reliable vehicle.
Major Duties
Administration & Executive Director Support
- Provide ongoing administrative and operational support to the Executive Director.
- Organize and maintain electronic and physical files, forms and organizational records.
- Maintain accurate member, donor, volunteer, participant and community contact information in BIALR’s CRM and other databases.
- Complete data entry and maintain accurate organizational records.
- Assist with correspondence, document preparation, printing, mailings and general office tasks.
- Assist with meeting scheduling, preparation, materials and follow-up.
- Respond to general phone and email inquiries and direct individuals to the appropriate BIALR program, service or staff member.
- Assist with basic financial administration, including organizing invoices, receipts and other records.
- Maintain office and program supplies and coordinate purchasing as directed.
- Assist with administrative projects and other organizational priorities under the direction of the Executive Director.
- Identify opportunities to improve administrative processes and office efficiency.
Program & Volunteer Administration
- Provide administrative support for BIALR programs and activities.
- Assist with registrations, scheduling, facility arrangements and participant communications.
- Prepare and organize materials and supplies for programs and activities.
- Maintain volunteer applications, screening documentation, reference checks and other records.
- Assist with volunteer scheduling and communications.
- Provide administrative support to program leaders and volunteers as required.
Event Support
- Provide administrative and logistical support for BIALR fundraising, awareness and community events.
- Assist with registrations, guest lists, sponsor information, supplies, signage and event materials.
- Communicate with participants, vendors, volunteers and sponsors as directed.
- Assist with event setup, delivery and cleanup.
- Attend occasional evening or weekend events as required.
Communications & Technology Support
- Maintain email and contact lists.
- Assist with updating information on BIALR’s website.
- Support online registration, fundraising and event platforms.
- Use BIALR’s CRM and other digital systems to maintain accurate information.
Qualifications & Skills
- Previous administrative, office coordination or related experience.
- Strong organizational and time-management skills.
- Excellent attention to detail and ability to follow through on tasks.
- Strong written and verbal communication skills.
- Comfortable communicating with members, volunteers, program participants, donors and members of the public.
- Ability to work independently, take initiative and manage competing priorities.
- Strong computer skills, including Google Drive and apps. Candidates should be comfortable using Apple computers or willing and able to learn.
- Experience with databases or CRM systems is an asset.
- Experience in a nonprofit, community organization or similar environment is an asset.
- Familiarity with tools such as Canva, Zoom, website platforms, email marketing systems and online fundraising platforms is an asset.
- Ability to handle confidential and sensitive information appropriately.
- Flexible and willing to assist with a variety of administrative and operational tasks in a small nonprofit environment.
- Ability to occasionally work evenings and weekends.
Transportation Requirement
A valid driver's licence and regular access to a reliable vehicle are required for this position. The Administrative Coordinator will occasionally need to travel to programs and events and pick up or deliver supplies and materials throughout London and BIALR’s surrounding service area.
Travel between BIALR locations, programs, events and other approved work-related destinations will be reimbursed in accordance with BIALR’s mileage reimbursement practices.

You are someone who likes keeping things organized and making sure tasks get done.
You notice the details, follow through and are comfortable managing a varied administrative workload. You can work independently but also enjoy being part of a small team where everyone pitches in when needed.
You don't need to know every system BIALR uses on day one. You do need to be dependable, organized, adaptable, comfortable learning new technology and willing to take ownership of the administrative tasks that keep an organization running.
