About us:
Progressive Animal Welfare Services (PAWS) also known as PAWS Canada, is a volunteer-based charity organization whose mission includes subsidizing access to veterinary care, providing education for pet caregivers, and addressing critical issues such as animal suffering, overpopulation, and the unnecessary euthanasia or surrender of animals to shelters.
PAWS programs:

Are directly accessible to applicants including in-crisis populations and agency representatives.

Help prevent downstream costs and issues by reducing the load on animal shelters/rescues/control and the community impacts of unwanted births and spread of disease.
The Board Secretary role focuses on supporting the Board and the Board Chair, maintaining all official documents and records for the Board. This Board member directly works in conjunction with the Board Chair to plan and run meetings, organize events such as the AGM, and respond to email inquiries on behalf of the Board.
Expected secretarial duties include:

Prepare for effective Board meetings - schedule meetings well in advance, confirm attendees and quorum, send reminders to those who fail to confirm

Board meeting agenda and folder - set up each month’s meeting folder in GDrive, create first draft of agenda using Board Calendar plus carryover action items from minutes.

Board meeting minutes - Take minutes and keep records of Board meetings, capturing business decisions, discussion and action items.

Retain accurate corporate records, Board admin files eg Board roles and Board contacts docs. and corporate documents such as Ontario Business Registry. Update these on request.

Coordinate and assist Chair with major meetings and events such as the Annual General Meeting

Help maintain the integrity of Google Drive folders and files

Support other Board members with access to official documents and information and assist with special projects where time permits

back up the Board chair by monitoring the corporate email address (info@paws) occasionally, responding to business inquiries in a timely manner, usually by forwarding appropriately within the organization.

Commitment:

Minimum of a 2 year term. 3 to 5 hours per week. Attendance at monthly Board meetings.
