Executive Assistant and Outreach Specialist

OVERVIEW

Long Point Basin Land Trust (LPBLT) is seeking an experienced individual to join our small but mighty staff in the position of Executive Assistant and Outreach Specialist.

Use your passion for nature to play a key role in supporting the overall work of the Executive Director in the day-to-day operations of the land trust and oversee constituent stewardship. Operations include land acquisition and management as well as engagement with donors, volunteers, partners and the broader community. This position also supports the Board of Directors.

Long Point Basin Land Trust is a charitable, non-government organization with a mission to preserve and protect the rich biodiversity of watersheds associated with the Long Point basin on Lake Erie. We promote conservation through land securement, outreach, research, habitat restoration and species at risk recovery. At present, Long Point Basin Land Trust protects over 1,200 acres on 17 nature reserves.

LOCATION

Anywhere in the Long Point Basin - Elgin, Norfolk, Haldimand, Brant and Oxford Counties. The main workplace of this position is the Land Trust office in Port Rowan, ON, with the occasional ability to work from home following a schedule agreed upon with the Executive Director. It will also require some travel across the Long Point Basin.

TERM AND SALARY

The Executive Assistant and Outreach Specialist is a permanent, full-time position compensated at $60,000 to $70,000 annually (depending on experience and skills) and based on a regular work week of 37.5 hours. Some evenings and weekends may be required. LPBLT full-time employees receive a health benefit package.

Responsibilities and Duties:

  • Work with the Board and relevant Committee Chairs to set up, coordinate and arrange Board, Committee and other meetings as required
  • Prepare and distribute meeting materials including meeting agendas, minutes and action lists
  • Attend meetings acting as the recording secretary
  • Assist various committees with project development
  • File and retrieve organization documents, records and reports, adhering to the document management policy
  • Maintain contact information (Board, committees, staff, contractors, and service providers, etc.)
  • Review existing Policies, Procedures and Protocols to identify gaps based on the recommendations in the Canadian Land Trust Standards and Practices and assist in the development of Policies, Procedures and Protocols as required
  • Maintain and update LPBLT Governance Manual, HR Manual and other policy and procedural tools as required
  • Maintain constituent database (Little Green Light) including entering all donations
  • Issue charitable tax receipts according to CRA regulations
  • Coordinate management of volunteers and event participants including registrations, forms and related communications.
  • Coordinate management of donors and provide reports on the progress and results of fundraising and donor engagement strategies and programs, including analysis of processes, results and recommendations for ongoing improvements
  • Co-manage the annual Volunteer and Donor Appreciation Event with the Community Engagement and Marketing Manager
  • Assist with the development and/or updates of organizational processes for staff
  • Keep up to date employee files, track vacation, sick time and mandatory employment courses
  • Volunteer support
  • Other duties as assigned by the Executive Director

Qualifications

  • Five or more years of senior not-for-profit experience
  • Experience working with a Board of Directors
  • Solid organizational skills including planning, delegating and task facilitation
  • High level of thinking and planning
  • Writing and verbal skills required to effectively communicate on a timely basis with donors, supporters, volunteers and the general public
  • Demonstrated ability to collaborate with staff
  • Experience budgeting and tracking project funding
  • Fundraising experience; excellent donor relations skills and understanding of the funding community
  • In-depth knowledge of word processing, spreadsheet, and contact relationship management
  • General knowledge of the Canada Not-for-Profit Corporations Act and Canada Revenue Agency Charity Directorate
  • Experience working with or supporting volunteers
  • Knowledge of conservation, land acquisition and land stewardship an asset
