Administrative Assistant (Development)

Mission Services of London, a non-profit organization committed to serving residents of London and Middlesex County with compassion and dignity, is seeking a permanent full-time Administrative Assistant to support the Development Team and Director of Social Enterprise, Development & Communications. This role involves performing a variety of clerical and administrative duties while maintaining confidentiality and document security.

Duties and Responsibilities:

  • Assist with preparing reports, presentations, and other documents using Word, Excel, and PowerPoint.
  • Draft agendas, minutes, and maintain meeting files for the Development Team.
  • Organize and manage filing for the Director and Development staff.
  • Distribute internal newsletters and assist with event registrations, room bookings, and other administrative tasks.
  • Enter and process donation information using Salesforce NPSP and online donation platforms.
  • Update donor records in Salesforce, ensuring accuracy.
  • Support volunteer application processing and onboarding.
  • Provide Reception Desk coverage during breaks and vacations, handling phone inquiries, greeting visitors, and logging donations.
  • Send thank-you letters for donations and assist with mailings such as holiday cards and tax receipts.
  • Monitor and reorder office supplies as needed, ensuring timely replenishment.
  • Register staff for workshops/events and book meeting rooms as needed.
  • Photocopy and fax documents as required.
  • Collect and review timesheets and expense reports for Mission Store and Development payroll processing.
  • Oversee collection and GL coding of invoices and receipts for Mission Store and Development in preparation for approval and submission.

Qualifications:

  • Secondary School Diploma and Business Administration Diploma required.
  • 1-2 years of experience as an Administrative Assistant or in a relevant role.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint); database experience preferred.
  • Strong attention to detail and accuracy.
  • Excellent communication skills, both written and verbal.
  • Ability to maintain confidentiality and manage sensitive information.

Position Details:

  • Full-time, 40 hours per week.
